The new “normal” in event planning is one that has not only challenged us, but presented the opportunity to be more creative in our thinking. The future of many businesses is looking brighter but responsible meetings and events are still a must. In talking with many of our corporate clients as well as our location and service partners, there are some trends that are leading the way this season.

All-Inclusive Packages
One-stop shopping is an ideal way for busy event planners to save time and money. Many locations and caterers are able to put together a package price that can include multiple elements including: location, food and beverage, entertainment, décor and other added services. By leveraging their strong knowledge and relationships in the industry, the pricing is competitive and additionally offers the benefit of a single point of contact.

Simple Menus & Comfort Foods
Over-the-top menus are no longer the norm. Instead, many companies are opting to provide simple menu choices that are familiar and tasty. Not only can these selections help you stay within your budget, but they bring comfort and nostalgia to the event as well. If comfort food isn’t a fit for your guests, ask your venue or caterer about foods that can utilize local and seasonal ingredients. This will guarantee fresh and delicious taste while supporting your local economy.

Go Green & Save Green
The reality of current meetings and events is that while being green is important, staying within a budget is non-negotiable. Being able to accomplish both objectives is ideal. A few ideas to get you started include: sending electronic invitations instead of printed versions, using paper products made from recycled materials, limiting printed handouts by sending electronic versions prior to the meeting and using pitchers of water rather than bottled water. By making some simple choices, going green doesn’t need to be exclusive of staying within financial guidelines.

An important element for a successful meeting or party is to include opportunities for socializing, teambuilding and fun. There are many creative ways to accomplish this. Select a location that has entertainment already built-in and offers meeting or event space such as a museum, bowling alley or yacht. If you have already selected your venue and are looking for entertainment options, communicate your ideas to your catering manager and ask for specific vendor recommendations. You can even incorporate entertainment into your menu by offering interactive food stations such as decorating your own desserts and cupcakes.

Charitable Giving & Social Responsibility
Giving back to your community or a specific charitable organization is a great way to add meaning to your event. Many companies have charities they support. Finding ways to include them in your event can generate higher attendance and give a sense of purpose to your attendees. Try including a raffle, an auction or encouraging employee donations by offering matching contributions from your company. If an event of this nature isn’t in your company’s future plans, coordinate a day of service for your employees and end the day with an informal “thank you” happy hour at your office or favorite local restaurant.

Corporate meetings and events may look and feel different than they have in years past, but they are a critical part of corporate culture and provide the vehicle for educating, celebrating and networking. With a little creative thinking, you can find trend-setting ways to make your meetings, parties and events both effective and enjoyable.
